Operations (Loans, Conservation, Exhibitions)
The Operations section covers the active, ongoing management of collection objects.
The Loans module tracks the temporary transfer of custody of collection items. This can include:
- Incoming Loans: Items borrowed from other institutions or individuals.
- Outgoing Loans: Items lent from your collection to others.
Creating a Loan
Section titled “Creating a Loan”- Navigate to Operations > Loans.
- Click New Loan.
- Fill out the core details:
- Loan Number: A unique identifier.
- Type: Select Incoming or Outgoing.
- Status: Similar to Accessions, loans typically start as
Proposed.
- Link the relevant Contact (the borrower or lender).
- Add the relevant Items to the loan record.
Conservation
Section titled “Conservation”The Conservation module allows you to track condition reports and treatments applied to collection items over time.
Recording a Treatment
Section titled “Recording a Treatment”- Navigate to Operations > Conservation.
- Click New Treatment.
- Link the treatment to the specific Item.
- Detail the Treatment Proposal, Treatment Performed, and Recommendations.
- Log who performed the work and when it was completed.
Exhibitions
Section titled “Exhibitions”The Exhibitions module ties together items, loans, and locations for public display.
Planning an Exhibition
Section titled “Planning an Exhibition”- Navigate to Operations > Exhibitions.
- Click New Exhibition.
- Define the Title, Start/End Dates, and Venues.
- Curate the Object List by linking Items and Incoming Loans.
- As the exhibition progresses, update the status from
PlanningtoActive, and eventuallyClosed.
Activity Logs & Auditing
Section titled “Activity Logs & Auditing”Every significant action performed across the Modules (Creation, Updating, Deletion) is securely logged by the backend audit trails.
- Administrators can view a complete history of changes under Administration > Activity Logs.
- This ensures full accountability and traceability of collection management actions over time.
